Chapter Financial Reports Due September 30

In June, the STC office mailed forms to chapter presidents and treasurers for their annual chapter financial reports. (Note: Student chapter financial reports were mailed in April, and were due back to the STC office by May 31, 2006.) The form can also be downloaded from the STC Web site. Chapters must submit these forms to the STC office by September 30 to qualify for community funding.

Please fill out the form to cover fiscal year 2006 (July 1, 2005, to June 30, 2006, for professional chapters). The cash balance for the beginning of the year should agree with the cash balance reported for the end of the fiscal year in last year’s report.

Chapters must include the following supporting materials with the chapter financial report form:

  • June 2006 reconciliation statement balancing the chapter’s checkbook against outstanding items (a sample bank reconciliation form is on the STC Web site)
  • photocopies of the chapter’s bank, money market, and certificate of deposit account statements as of June 30, 2006

Those chapters that realized more than $25,000 in income are also required to complete an IRS 990 or 990EZ form and return it to the Society office before their funds will be issued. The 990 or 990EZ packages are mailed to the appropriate chapters in early July. If your chapter is required to complete one of these forms and did not receive a package from the office, please contact Peg Cottrell at (703) 522-4114 x204.

Completed financial report forms and supporting materials should be mailed to STC, Attn: Chapter Financial Reports, 901 N. Stuart St., Ste. 904, Arlington, VA 22203-1822.


Community Funding

In late July, the STC office will begin mailing community funding to all chapters that have submitted their financial report forms. (Chapter financial reports are due September 30.) Community funding is based on each chapter’s membership as of June 30, 2006. For each chapter’s first 100 members, chapters receive $24 USD per member; for the next 100 regular members, chapters receive $16 per member. Chapters receive $8 for each member after these groups. Chapters receive $11 for each student member and $80 for each active sustaining organization. SIGs will receive $4 per member.

Please note that chapter treasurers will receive 50 percent of the community funding upon approval of the chapter financial report. The remaining 50 percent will be sent in January 2007.

To receive community funding, a chapter must have a functioning administrative council, which is defined as sufficient council members to constitute a quorum (that is, the minimum number of individuals required to transact business). Since a full chapter administrative council includes a president, vice president, secretary, treasurer, and immediate past president, at least three of these positions must be filled before a chapter can receive its rebate.


Corrections

The article “Newsletter Competition Results” in the May/June Tieline misidentified the level of award for Byline, the newsletter of the Chicago Chapter STC. Byline received an award of Excellence.

Also, the name of the Southern Arizona chapter newsletter was misspelled. The name of the newsletter is Border Line. Tieline regrets the errors.


Board Report Posted

The board reports for the final 2005–2006 board of directors meeting and the first 2006–2007 board of directors meeting have been posted to the STC Web site.


Leadership Day Podcasts Available on Society Web Site

For members who couldn’t attend STC’s annual conference in Las Vegas or who are interested in the topics presented at the Leadership Day sessions, podcasts of some of these presentations are now available on the Society Web site.

Sessions currently available for downloading are Jang F.M. Graat’s “Organizing Profitable Chapter Events” and George Slaughter’s “Chapter Public Relations Best Practices Forum.” Graat is a member of the TransAlpine Chapter, whose events consistently result in a healthy profit; learn how to do the same for your community or region. Slaughter explains how to improve your STC community’s public relations efforts.

Conference Photos Available for Use

Community leaders who are interested in seeing photos from the conference in Las Vegas may visit www.stc-cdx.org/gallery. Also posted are photos of the board of directors and new executive director Susan Burton. These images can be used for community newsletters and Web sites.
