Mailings from the STC Office

  • In July, the Society office will e-mail a letter to chapter presidents requesting chapter competition information. Please return the chapter competition response form to the STC office as soon as possible to be included in the list of chapter competitions. STC will also e-mail a letter to chapter presidents and competition managers alerting them of the updated guidelines and entry forms for the Online Communication, Technical Art, and Technical Publications Competitions.
  • Chapter financial report forms will be mailed to chapter presidents and treasurers in mid-July. Completed forms must be returned to the Society office by September 30, 2007.
  • In August, chapter presidents will receive a letter reminding them about associate fellow nomination and evaluation procedures, including a list of all eligible candidates in their chapter. Nominations are due by October 7, 2007.

Community Leaders’ Monthly Reminders—July/August

  • Send your chapter’s end-of-year financial report, bank reconciliation form, and June 30 bank statement to the STC office. Chapters with more than one bank account must submit reconciliation forms and statements for each account. Deadline: September 30, 2007. (Student chapter financial reports were due June 15, 2007.)
  • Chapters failing to file a chapter financial report form before the deadline may forfeit their community funding. It is recommended that outgoing treasurers and incoming treasurers work on the report together to ensure that incoming treasurers are familiar with their new responsibilities.
  • Have the chapter’s financial books informally audited after the financial report has been filed with the STC treasurer.
  • Transfer the outgoing treasurer’s records to the incoming treasurer and change signature cards for the chapter’s bank accounts.
  • Review the past chapter officers’ files and request any missing information from the STC office.
  • Hold an organizational meeting with the new chapter administrative council.
  • If your chapter plans to hold one or more competitions, submit completed chapter competition response forms to the Society office.
